| Setting | What it does |
|---|---|
| Send window | Mid morning or early afternoon on weekdays. A personal email that lands at 6:00am on the dot reads as a robot. |
| Exit | Booking any appointment removes them immediately. Nobody gets a "why haven't you booked" email after they booked. |
| Suppress | Existing clients. Anyone already in the Abandoned Booking flow, since that one takes precedence. |
| Reply handling | Replies are a booking path here, not noise. Someone answers them like a human, same day. |
| Testing | Alternate subject lines are listed beside every email below. |
These go out from sam@trifectasportstherapy.com, signed Sam, written as the person who does new client scheduling. Sam is a sending identity for the flow, not Cory's inbox and not a mailbox any one person lives in. The address routes to the front desk, and whoever answers replies signs as Sam.
Two rules make that work. The name never changes, because a sender who switches names reads worse than a generic one. And Sam only ever speaks with a scheduler's authority, about the calendar, the booking, and what happens in the room. Cory and Anna are referred to in the third person, and always as a pair. Nothing in this flow has Sam claiming to own the business or do the bodywork.

These emails were written against the live /welcome page as of July 23: $150, Kinotek assessment plus a 60 minute session, $405 stated value. That differs from the offer in our earlier strategy work, which had a $99 assessment only version at a $330 value, with the price crediting forward toward a membership.
Confirm the live page is the current offer of record. The credit forward mechanic is confirmed alive and is now written into email 3, spread across the first three months. That makes the gap sharper, not smaller: the single best reason to book is in our email and nowhere on your landing page. It should be on the page too.
| Watch | Why |
|---|---|
| Unsubscribe rate | Five emails in seven days is a real cadence. If unsubscribes spike we stretch the timing rather than cut an email. |
| Spam complaint rate | The one number that can damage the sending domain. Any movement here pauses the flow. |
| Exit accuracy | Spot check that people who book actually stop receiving these. Nothing burns trust faster. |
| Flow | Status |
|---|---|
| SMS layer | Journey map pairs a text with email 1 and the last email. Not built. Worth doing. |
| Abandoned Booking | Not built. Note it takes precedence over this flow, so the suppression logic has to exist before either goes live. |
| Post Assessment | Not built. Triggers the moment they book and exit this one. |
| Win Back | Not built. Lowest priority, biggest audience. |
